VoxioraJade has Thursday at 18:15, and it takes about 45 minutes. Would that suit you?

Does this happen to you?

  • The phone rings mid-foil

Stopping a colour to answer costs you time; letting it ring often costs you the client.

  • Clients book after work

Many people think about their next appointment in the evening, long after the last client has gone home.

  • Late changes leave gaps

A cancellation on voicemail is usually heard when it's too late to fill the chair.

Where a salon's bookings slip away

A salon runs on appointments, yet the people who make them have their hands busy for most of the day. Foils, gel, lashes and massage don't pause for the phone, so calls ring out, and a client who hears nothing tends to try somewhere else rather than call again. The busiest booking window is often the evening, when clients have finished their own work and the salon has already closed. Each missed call is a small loss; over a month they shape how full the diary looks.

Voxiora takes those calls in the tone you choose. It knows your treatment menu, how long each service lasts and which team member offers it, and it books straight into their Google Calendars. Clients can move or cancel without waiting for you to finish, price questions get a clear answer from your own list, and you read a short summary between appointments instead of returning a string of missed calls.

Common salon calls and how Voxiora handles them

  • Caller

“Is Ines free for a cut on Saturday morning?”

    Voxiora

Looks at Ines's calendar, books a slot of the right length or suggests the nearest alternatives with her or a colleague who offers the same service.

  • Caller

“I'd like a lash lift. I've never had one before.”

    Voxiora

Applies your rules for first-time clients and books the patch test or consultation you require before the treatment itself.

  • Caller

“How much is a full head of highlights?”

    Voxiora

Quotes from your price list and explains when the final price depends on hair length or a consultation.

  • Caller

“Can I bring my appointment forward? Something's come up.”

    Voxiora

Finds the booking, offers free times and updates the calendar, so the original slot is open for someone else.

  • Caller

    “Do you sell gift vouchers?”

    Voxiora

Answers from your website and the facts you add; anything you'd rather decide yourself becomes a message in your tasks inbox.

  • Caller

“I'm stuck in traffic and will be fifteen minutes late.”

    Voxiora

Records the delay in the call summary, or cancels and releases the slot if the client can no longer make it.

Who should call you?

Sample call: a new client asks for a lash lift

Illustrative only. The salon, names and patch-test rule are invented; your assistant follows your own treatment menu, team and calendars, and every call begins with the AI disclosure.

Illustrative scenario
  1. VoxioraAtelier Rowan, you're through to Nova, the salon's AI assistant. What can I do for you?

  2. CallerHi, I'd like to book a lash lift. I haven't been to you before.

  3. VoxioraWelcome. For new clients we do a quick patch test at least 48 hours before any lash treatment. I can book the test on Tuesday at 12:30 and the lash lift with Jade on Friday at 16:00. Would that work?

  4. CallerThat's fine. How long does the lift take?

  5. VoxioraAbout an hour. Could I take your name and mobile number? I'll text you both appointments.

  6. CallerIt's Freya Collins, and the number is the one I'm calling from.

  7. VoxioraThank you, Freya. Both appointments are booked, and a confirmation text is on its way.

Bookings, handovers, evening calls and texts in a salon

  • Each service with the right person

Every treatment carries its length and the team members who offer it. Voxiora reads their Google Calendars, offers only times that fit and books, moves or cancels during the call.

  • Handing over to you

A regular who wants to speak to you, a complaint or anything else you choose can be transferred to your mobile with a short note. Mid-appointment and unable to answer? The assistant takes a detailed message instead.

  • After you close

Late-evening and Sunday callers are answered like anyone else. They book, rearrange or ask about prices, and you open the next morning to a list of summaries rather than missed calls.

  • Texts that confirm the visit

Clients can get a text with the service, team member and time right after booking. SMS is included in every plan with a monthly allowance, and appointment reminders can be switched on.

Setting up Voxiora for a salon

  1. Step 1

    Point it at your website

Enter your salon's website or booking page. Voxiora gathers your treatments, prices and opening hours into a draft greeting and knowledge base.

  2. Step 2

    Match services to your team

Confirm each treatment's length, choose who offers it and connect each person's Google Calendar.

  3. Step 3

    Add your house rules

Patch tests, consultations, deposits, late arrivals: describe how you handle them in plain words.

  4. Step 4

Pick a voice and a tone

Choose a natural voice and decide how relaxed or polished the assistant should sound.

  5. Step 5

    Test, then forward

Try a booking, a change and a price question in your browser, then forward your salon number when you don't pick up, when the line is busy, or always.

Salons: common questions

What about treatments that need a patch test?

You note which treatments require one. When a new client asks for them, Voxiora books the patch test or consultation first and explains why, instead of the full appointment.

We already use an online booking tool. Will they clash?

Voxiora books natively in Google Calendar. If your online tool syncs with the same calendar, both see the same free times; other systems can be connected through Zapier, Make, n8n or the API.

Will regular clients find it impersonal?

You choose the voice and how warm or polished it sounds. On the Pro plan and above it recognises returning callers and recalls their history, so a regular doesn't have to repeat themselves.

Can it take a deposit for a long appointment?

On the Business plan and above, Voxiora can text a secure payment link during the call (Stripe Connect), so the client pays on their own phone before hanging up.

What does it cost for a small salon?

Plans start at €49 a month with yearly billing, excluding VAT, with minutes included and no setup fee. The Essential plan answers one call at a time and is designed for solo professionals and small salons.
